Privacy policy

Here at Chelmsford Mountaineering Club (CMC) we take the privacy of our member data seriously and will only use your personal information for club administration purposes and for communicating with you about your membership. Only the Committee Members, i.e. Chairman, Secretary and Treasurer or Committee Appointed Officers will be able to access your details.

This privacy policy has been written in response to the adoption of General Data Protection Regulation (GDPR) which comes into effect on 28th May 2018 and reflects the responsibilities of the club to respect and protect the privacy of its members while performing the duties of the club.

As part of becoming a member of the CMC, members are expected to provide certain details via the membership form, such as:

  •  Name

  • Address

  • Date of Birth

  • Contact telephone numbers

  • Email addresses

  • Emergency contact details


Members are also asked to affirm that they are fit and able to participate in the activities of the club and in doing so disclose any medical circumstances that may affect the safety of the club or any person during a club activity.

All of the data collected is recorded on the club membership form filled in at the point of joining the club and periodically updated or reaffirmed at the point membership is renewed annually.

All membership forms are scanned and held electronically in a secure environment with only the Committee Members being able to access them.

Data held will only be used for the administration of the club which will include the communication of events and activities and will never be shared with a third party other than the British Mountaineering Council (BMC).

As a BMC affiliated club, we will provide name, contact details and date of birth to the BMC to administer your membership of the BMC including your combined liability insurance cover. The BMC will use your data to communicate with you about your membership. The BMC will contact you to invite you to create a ‘Member Profile’ which, amongst other things, allows you to set and amend your privacy settings. Under GDPR members, rights to review, amend and withdraw data form the club is protected formally. All members have the right to view the data held on them or the right to have the data deleted. All requests must be made by email or in writing to an elected member of the committee at secetary@the-cmc.co.uk. Such requests will be responded to within 30 days.

In the event that a member wishes to have their data removed this will impact the ability of the club to perform its duties in communicating to the member.

Members are required to renew their membership annually and as such reaffirm or update the data held, failure to renew membership of the CMC will result in the members, details being deleted from the club’s records during the following year and would result in the member having to re-join the club as a new member at a later date.
